Document Reproduction Fees and Conditions of Use

The following document outlines the fee structure for creating copies of documents held in The Presbyterian Church in Canada Archives and Records Office and the terms and conditions of their use. Original documents cannot be loaned to public researchers, or otherwise removed from the Archives.

In accordance with the Copyright Act (Canada), the Archives may make one copy of any record in its holdings for purposes of research or private study, unless prohibited to do so by the copyright holder, or restricted to do so for legal or conservation reasons. Researchers wishing to use a document for any purpose other than research or private study (eg. for publication) must first speak with the Archives.

Fees:

Photocopies: $0.25 per photocopy
Copies made by Digital Camera: $0.25 per image
Microfilm Reader Printouts: $0.50 per printout
High Resolution Scan of Photographs: $10.00 per image, plus applicable taxes
Prints and Slides: Not an in-house service. Fee is dependent on the cost of having the print created, plus a $15.00 administration fee per order.

Conditions:

1. Copies of a document or image are provided for purposes of research and private study only. Permission to use the copy for any other purpose, including use in a publication (book, journal, newsletter, pamphlet etc.), exhibition, film, video, or website, must be obtained from the Archives, and an appropriate caption giving credit to "The Presbyterian Church in Canada Archives" must be included.

2. Ownership of copyright on a document or image housed in the Archives does not necessarily rest with the Archives. Researchers must accept full responsibility for obtaining permission from the copyright holder if the copy is to be used for a purpose other than research or private study. The Archives will, wherever possible, endeavour to provide information about the copyright holder.

3. Permission to use a copy of a document or image is granted for a one-time use only, and is limited to the researcher that requested the copy. The copy provided by the Archives, or any facsimile of it, may not be reproduced or resold.

4. The copy may not be manipulated or altered in any way without the authorisation of the Archives. If authorisation is granted, an appropriate caption must accompany the altered document or image indicating that it has been altered, and how it has been altered.

5. Digital copies will be provided as TIFF or JPEG files as requested, and can be placed on CD (additional cost of $5.00 per CD; JPEG images may be sent as an email attachment). File size and image resolution may vary from image to image depending upon the parameters in place when the image was created. The Archives cannot guarantee the quality of the image nor can it change the image in any way upon request.

6. Prints and slides may be created upon request, however this is not an in-house service and the cost, quality of the reproduced image, and length of time taken to create the copy, is not dependent upon the Archives. Negatives will not be provided to researchers but will remain with the Archives.
